Ai dispatcher

An Ai dispatcher that can see the calendar.

A voice that answers the phone is the visible part. Booking a job takes the crew’s real availability, the order details and a way to tell everyone when the day moves. A Samurai comes with all of it wired in.

What an Ai dispatcher does

An Ai dispatcher handles the calls and texts that turn an order into a booked day: reaching the customer, offering times, confirming, and rescheduling when something changes.

Whether it works depends on what it can read and write: the order, the crew calendars and the record every other party sees. Without those, a person on your team re-checks every booking by hand.

A Samurai is that dispatcher with the wiring included.

Where it breaks.

01

It answered but couldn’t book

A junk removal company we work with ran an Ai scheduler before us. It couldn’t see real availability, so a person re-checked every booking. The owner called it “inefficient from both an operational and customer service perspective.”

02

It called once and stopped

Before launch, every attempt at one installer ended in voicemail with no retry. A Samurai tries again at a different part of the day.

03

Nobody else heard about the booking

The call went fine and the new date lived in a transcript. The crew, the store and the office still had the old plan. A Samurai writes the booking back to the record they all read.

What we build.

A Samurai on your phones and texts, connected to the systems that decide whether a booking holds.

  • Outbound calls within minutes of an order landing, and a dedicated inbound line so callbacks reach the same Samurai.
  • Voice, text and email working from one record of the conversation.
  • Bookings made against live crew availability and written back into the retailer portal where there is one.
  • An email summary to your office after each call.
  • A transfer to a person whenever the Samurai runs out of good answers, and our own QA review of the calls.

The SamurAi does not take the job. It takes the part that was never meant for a person.

Questions installers ask.

What happens when the Ai dispatcher can’t handle a call?

It transfers the customer to a person on your team with notes, or books a callback. Your office sets the rules for what the Samurai can decide on its own.

Does it work after hours?

During the day, the Samurai calls back within minutes. Calls that come in overnight are the first ones returned the next morning.

Can it reschedule as well as book?

Yes. Reschedules run through the same crew calendar and the same job record, so the crew sees the change too. The 450 or so appointments in the Lex numbers include reschedules.

Does my office still see every booking?

Yes. Your team gets an email summary after each call, and dispatchers can book and change appointments in the same console the Samurai uses.

Is there a contract?

Twelve months. The Samurai is built around how your jobs move, and that build is real work. We quote after the first call.

“They get the phone call and by the time they’re off the phone call, they already have the email summary. With the old on-call service it could be 30 minutes or so.”

“We don’t have our older guys having paper in their hand or looking for the paper. Everything’s already there. Just click, Google Maps opens up, or the phone recalls.”

“I feel like I’m getting my money’s worth. I feel like you guys are actually attentive to my needs because we are pretty serious on our meeting cadence. A lot of other vendors I deal with, they’ll do this once and then they’re gone. They disappear and all they do is send big invoices.”
